Open Board Positions : 2023-24
Secretary
Responsibilities:
-
Responsible for gathering and setting meeting agendas (sent 2 days before meeting) and meeting minutes (sent within 7 days following meeting)
-
Responsible for communicating information to members and parents, including monthly board newsletters and weekend contest recap messages
-
Monitors general band email address and serves as main point of contact for general inquires: forwards emails to appropriate board members as needed
-
Works with directors to maintain parent/student email lists, emergency contact info, and student allergies
-
Oversee the Volunteer sub-committee which includes:
-
Work with Directors and appropriate VPs to help recruit and organize volunteers for events (onsite and offsite) through SignUp Genius
-
Provide a list of confirmed volunteers to other committee chairs/VPs before events
-

Ensure Fulton Co registration and training for all chaperones.
Treasurer-Accounts
Responsibilities:
-
Responsible for PickleJuice app to manage transfers, deposits, and payments to be allocated to the student
-
Manages credit balances on student accounts from fundraising activities and apply towards fees as they become due
-
Manage student accounts by posting any check and cash payments
-
Checks USPS PO box, gray box in band area weekly for mail
-
Timely deposit of funds and presentation of financial reports at monthly General Membership Meetings.

Collection of fundraising deposits
-
Provide quarterly statements and monthly invoices to members and maintain effective communication with them to address any questions or concerns regarding their accounts.

Coordination with the Treasurer-Operations for disbursement and allocation.

Collaborate with the Treasurer-Operations to present financial books during audits
Treasurer- Operations
Responsibilities:
-
Keeps report of all financial transactions
-
Manages Association bank account
-
Management of budget building and reporting
-
Reconciles bank statement, maintains general ledger
-
Presents financial reports at meetings
-
Responsible for paying all expenses (vendors, payroll, and reimbursements)
-
Manages expense spend by budget categories
-
Work with Tax professional for annual filings – W9, 1099, Form 990 etc.

Responsible for tax exempt forms/status
-
Builds and reports on the budget
-
Presents financial reports at meetings
Vice President of Hospitality, Meals, & Snacks
Responsibilities:
-
Procurement, distribution, and set up of meals and snacks at planned events, contests, and practices
-
Work with Board Secretary on set up of SignUp genius for donations of meals and snacks
-
Provide food options for those with special dietary needs
-
Communication with volunteers and donators on collection, set up, and distribution of meals and/or snacks
-
Hospitality room snacks/set up for judges/directors attending on site events (SAPA, LGPE, etc.)
Vice President of Events
Responsibilities:
-
Maintenance of the entire season’s onsite and offsite calendar of events and annually recurring events (see list of recurring events)
-
Ensures all documents/applications are filed and submitted for events
-
Working with Directors, coordinate camps throughout the year
-
Obtain all necessary forms needed from parents and students for each event
-
Working with Board Secretary, ensures sufficient coverage for events (volunteers, board members, etc) leveraging SignUp Genius
-
Working with VP of Logistics, coordinate location, equipment, supplies, first aid for each event
-
Organizes event day communications and organization of volunteers
-
responsible for ensuring all on-site and off-site events are ready
-
Plans trips/books hotels
-
Coordinates with other Hooch programs (e.g. football, cheer, etc) on mutual game events/halftime plans
Vice President of Fundraising
Responsibilities:
-
Idea generation, oversight, and implementation of activities that involve raising funds to support the activities of the Association.

Sets annual target fundraising goals
-
Work with VP of Events on scheduled Fundraising events and activities
-
Seek out new corporate opportunities and maintain relationships
-
Promotes fundraising amongst members
-
Manages Ameris concession scheduling and communications.
